Planning a project with AI
Paste a brief and the AI proposes tasks with owners, estimates and dates that follow the project's own workflow, as a proposal you approve item by item before anything lands on the board. Open it from Plan with AI on an existing project's board, from Create and plan with AI on the projects list, or, for a whole operating model instead of one project, from the set-up wizard.
Open TaskedPlan an existing project
Plan with AI sits on the project's own board, and opens a dialog with one Brief field. The AI reads it together with the project's workflow and builds a task proposal to match.
- Open the project (Tasks tab) and select Plan with AI.
- Paste the Brief: what is being produced, for whom, what it includes, by when, and what matters most.
- Set a Start date and a Due date if you have them.
- Select Build the plan.
Create a project and plan it in one step
The same form that creates a new project on the projects list carries a second button: Create and plan with AI creates the project the same way, then opens that same planner on it right away.
- Open Productions > Projects from the navigation.
- Fill in the new project's name and template, as usual.
- Select Create and plan with AI instead of New project.
- Paste the brief and select Build the plan, the same as planning an existing project.
Set up a whole operating model instead
The set-up wizard is a bigger proposal: not tasks for one project, but workflow templates, roles, automations and a first project together. It appears on Today while nothing is set up yet, and on the projects list while there are no projects at all.
- On Today, while nothing is set up yet, select Open the set-up assistant, or, on an empty projects list, select Set up with AI.
- Describe your business in a sentence or two and select Continue.
- Answer the three short questions, or skip them, and select Build my proposal.
- Review the proposal, its workflow templates, roles, automations and first project, and approve it the same way as any other proposal.

- Does Build the plan write anything to the board right away?
- No. It only creates a proposal. Nothing is created until you approve it, item by item, like any other proposal.
- What is the difference between Plan with AI and the set-up wizard?
- Plan with AI, or Create and plan with AI, adds tasks to one project. The set-up wizard proposes a whole operating model: templates, roles, automations and a first project.
- Can I ask the AI to replan after I already approved a plan?
- Yes. Describe what changed under What changed since the previous plan, and Plan again shows a diff of what was added, removed and changed.
