Uploading files and managing versions
Files are uploaded from Files under Media and review or inside a project. New files start internal; the Client can see switch decides if a file appears in the client portal, and sending a version for approval shares it automatically. Every upload is scanned for malware.

Every uploaded file is scanned for malware before it can be viewed or downloaded. New files start internal by default: clients cannot see them in the portal until you toggle the Client can see switch on the file, or send a version for client approval.
- In navigation, click Media and review, then Files (or open the Client tab in a project).
- Optional: open a folder, or click New folder and give it a name.
- Click Upload files and choose one or more files, or drop them onto the page.
- To share a file with the client in the portal, toggle its Client can see switch.
Add a new version and share on approval
The new version becomes current the instant the upload finishes, and all previous versions are preserved in the history. Sending a version for client approval from inside the review room shares the file automatically.
- Open the file from the list to enter its review room.
- At the top of the page, click Upload new version and choose the file.
- Clicking Send version to the client at the top of the room submits it for portal approval and shares it immediately.
Create a share link
The Share links section sits on the file's own Details tab. Sharing a whole folder instead is done from the Share button on the Files screen itself, once you are inside that folder - sharing is not offered at the root.
- On the file's Details tab, under Share links, optionally type a Password and set an Expires at date.
- Check Allow downloading the original if the other side needs the source file rather than a preview.
- Click Create link and copy it right away - it is shown only once.
- Revoke link cuts off anyone holding the address immediately.

- Are new files immediately visible to the client in the portal?
- No. New files always start internal. Only a file with the Client can see switch enabled, or whose version was sent for approval, appears in the portal.
- What is the difference between sharing a file and sharing a folder?
- A file's link is created from its own Details tab; a whole folder's link is created from the Share button on the Files screen, only once you are inside that folder.
- What does someone see when they open a share link?
- A preview of the file, and the original only if Allow downloading the original was checked and the file has also cleared the malware scan.
